Deliveries & Logistics (Move-In & Move-Out)

Move-In

  • Children under the age of 15 are not permitted within the venue during move-in and out.
  • Closed-toe shoes and high visibility safety vests must be worn at all times (please remember to bring these with you on Sunday when the show closes)
  • For security and safety reasons, exhibitors will not be permitted access to their stands outside the move-in/out and exhibition open hours unless arrangements have been made in writing with RX.
  • Exhibitors may not dismantle their stand or pack up stock prior to the official closing time of the show. Stands must remain fully operational until the visitors leave the premises.
  • If you are hiring stand builders for a custom stand, they must complete the online venue induction before coming on-site. This requirement does not extend to exhibitors or their promo staff.
  • There is no exhibitor arrangement for car parking. Exhibitors who wish to drop off or pick up stock may use the loading dock during available hours to unload/pickup only. They may not park there.
  • Exhibitors that do not need to access the loading dock may park and carry items in through the front door.

 

The loading dock will be managed by GEL

All exhibitors using the loading dock must pre-book a loading dock access time:

  • A 30-minute time limit for unloading applies and will be strictly enforced for all vehicles
  • Trolley and pallet jacks will be available from the GEL Service desk. Please note that these are a shared resource and need to be returned as quickly as possible.
  • Forklift services are available but must be pre-booked through GEL before 4 October; otherwise, surcharges will apply
  • The GEL Service desk is located in the  loading zone near the open loading dock doors
  • Exhibitors are to enter Normanby Road heading towards Exhibition Centre Doors 3-10.

Exhibitors using a freight service will need to ensure couriers are instructed as per the details below:

  • Deliveries WILL NOT be accepted outside the move-in hours (listed on the previous page) OR during show hours
  • Couriers will need to supply the loading dock marshal with your company name and stand number
  • Exhibitor deliveries must be arranged for a time when YOU WILL BE ON-SITE during the times listed on the previous page. If you are unable to be onsite to receive your delivery, you will need to instruct the courier company to deliver WITHOUT A SIGNATURE to the GEL  Service Desk or direct to your stand.
  • GEL will accept deliveries but WILL NOT SIGN FOR or accept responsibility for loss or damage of your goods.
  • PAX Australia will under no circumstances be accountable or accept deliveries on behalf of exhibitors
  • For pallets and crates, courier vehicles should be equipped with a hydraulic drop-down tray for ease of access by pallet jack.
  • Forklifts will be available but must be pre-booked using the freight delivery form.

Move-Out

  • PAX Australia closes at 6 pm on the final day, Sunday 12 October, at which time the area will be defined as an exhibition work site and safety precautions must be taken.
  • Exhibitors are not permitted to dismantle stands, remove merchandise or remove boxes from the storage area prior to the official closing of the show at 6.
  • Roller doors to the loading dock will only open once all visitors have left the venue and all exhibitors are wearing the appropriate gear. Additionally, no exhibitors’ cars or trucks will be allowed onto the dock until it is deemed safe to do so. This normally takes around half an hour, so please help to speed up the process for everyone by putting on your safety gear immediately.
  • Exhibitors are reminded that goods will be at risk during move-out and that stands should not be left unattended until all items and equipment have been collected by the appropriate suppliers. PAX Australia and the MCEC will not accept responsibility for the loss of any items.
  • Any exhibitor leaving material behind for collection on Monday, 13 October, must leave it wrapped on a pallet and labelled, away from the walls of the stands, which will be dismantled overnight.
  • Items left for pickup on Monday, 13 October, must be collected by 11 am; otherwise, the material will be freighted off-site and stored at the exhibitor's expense. No responsibility will be accepted by RX for the return of these items.
  • No children aged under 15 may be onsite at all during this time.

Storage facilities will not be available on-site in the Exhibition Halls. Limited storage may be available in the loading dock and off-site storage can be arranged.

All surplus rubbish from the set-up of your stand must be left in the aisle for collection on Thursday night or placed in the nearest bin.

It is the responsibility of all exhibitors to place any remaining rubbish in venue bins by 8.30 am on Friday before the official opening.

Stands are not cleaned overnight. This service can be booked.

At the conclusion of move-out, leave your rubbish within your stand space for collection. Any large items that are not packaging material will incur an additional cost for disposal from the venue.

Booth Babes

PAX has a strict ‘no booth babe’ policy with the purpose of creating an environment where everyone can feel comfortable and welcome, and the focus is on games, not hired booth staff.

For more information on what is acceptable and how to comply with this policy, read the details below:

Noise, Competitions and Crowding

Exhibitors are required to contain all activities within the dimensions of their booth during the event, as well as ensure that all activities they conduct are safe and will not impact the conduct of other businesses or the health of anyone attending the event (especially regarding crowding or traffic flow) or affect the traffic of neighbouring stands, this includes throwing prizes into crowds of people.

Game Classification

All games must be displayed with the properly affixed classification rating and advice on both the game product and any game advertising. Each notice must be in legible letters, not less than 15mm in height and of a colour that contrasts with the background colour of the notice, displayed in a prominent place on or near each entrance to any restricted area or restricted game, so they are clearly visible from outside that area.

Any exhibitor displaying a game (not including tabletop games) must complete the Game Classification Form. This provides the highest rated games you will be showing and also a detailed list of unclassified games. PAX Australia requires all unclassified games to be submitted with a detailed listing of their content in order to provide a likely rating and display advice.

  • Games rated M or below may be seen or played by anyone at the event.
  • Games rated MA15+ or above (or unclassified but LIKELY to be rated at this level) must not be played/seen by anyone under 15 without a guardian present.
  • Games rated at R18+ (or unclassified but LIKELY to be rated at this level) may not be played/seen by anyone under 18 without exception. As there will be people under this age on the show floor, this will require exhibitors to obscure or fully enclose the area in which these titles are being displayed (see below)

Unclassified games must be displayed with the Check The Classification marking ONLY, but access to the game should be treated the same as the rating it would LIKELY receive if classified – that is, if an unclassified game is likely to be rated at an MA15+ level, it should not be played by anyone under 15 without an accompanying parent or guardian.

Games that are displayed in an enclosed are will require minimum exit requirements based on the capacity. ALL exits must be clearly signed using luminous exit signage that is visible from all parts of the internal area.

It is a requirement of participating in PAX Australia that you read the following Health and Safety regulations and agree to them in our Health and Safety form.

Onsite Safety

  • High-visibility safety vests and enclosed shoes must be worn at all times during move-in/out.
  • Children under the age of 1 are not permitted inside the venue during move-in/out due to the high risk of injury.

Electrical Testing & Tagging

  • All portable electrical equipment, appliances and leads used on-site must be tested and tagged in accordance with the Workplace Health & Safety Regulations and Australian Standard 3760, 2001.
  • A representative will be on-site during move-in to offer a full testing & tagging service at the exhibitor’s expense.
  • It is the responsibility of all exhibitors to turn off all electrical equipment at the end of each day.
  • Venue power will be switched off half an hour after closing time during show days. If you require 24-hour access to power, please notify Exponet.

Packing & Freight

  • Be aware of forklifts, trucks and other moving machinery, the driver might not see you.
  • Forklifts are not to be used by anyone other than fully trained and licensed personnel.
  • All aisleways, passages and fire exits must be kept clear of general waste & packaging materials.
  • Nails, etc., must not be left protruding from any packing case or material.

Alcohol & Smoking

It is prohibited to be under the influence of alcohol or illegal drugs while working at MCEC or while performing site activities, including operating vehicles of equipment. Similarly, all buildings within MCEC are smoke-free environments. Please observe the no-smoking rules on site. Smoking zones are marked accordingly.

Ladders

Exhibitors and contractors using ladders during the construction of a stand must not stand on the top step of the ladder at any time, nor may chairs, crates or boxes be used as a substitute for ladders.

Stand Design (incl Electrical Appliances, Raised Floors and Motor Vehicles, etc)

There are a number of regulations involved in what can be done when designing your stand. Rules apply to electrical appliances, flammable material, open flames, raised floors, motor vehicles, water, gas, balloons and other items. For further guidelines, please return to the stand design page.

Emergency Procedures

RX and the MCEC are committed to providing a safe environment and all exhibitors’ contractors and staff are required to understand the emergency procedures and evacuation plans of the building and to follow the directions of venue staff.

WH&S Rules and Regulations

This policy provides a safe environment for all personnel (organisers, exhibitors, contractors, visitors) involved in RX events. WH&S is an important initiative and we ask for your support in our safety endeavours.

Simply read the policy document and complete your Work Health & Safety task, acknowledging you have read and understood the WH&S policy to RX by the due date.

Ensure that all personnel involved in your exhibit read this document and comply with the RX policy and procedures and/or have their own policy/procedures.

During the build-up and breakdown periods, your staff and sub-contractors should be constantly reminded by you of the need for vigilance regarding the health and safety of themselves and those working in their vicinity. Any violations or concerns regarding any of the above points should be reported to the hall floor manager or to the organising office.

  • Shell Scheme Exhibitors
    If you have contracted the shell scheme package, you are covered within our WH&S policy and are not required to complete the Custom Stand Form. However, if you are planning to contract other services as part of your stand design, it is advised that you ensure that those contractors/suppliers have their own WH&S policy and follow safe practices - this declaration can therefore act as a guide for you in this regard. 
  • Space Only Stands
    If you have elected to contract a space only stand, your stand, walls, signs, floor coverings, etc, will need to be constructed and supplied. You are therefore required to complete ALL details within the Custom Stand Form.

It is the policy of RX to endeavour to seek the co-operation of all concerned in order to achieve the highest standards, in all aspects, of health and safety.

RX, along with each respective venue, has, within its scope of policies, a responsibility to ensure that safe working practices are maintained at all times, which includes ensuring that provision is made whereby persons other than the organiser's or venue employees are reminded of their responsibilities whilst working at the exhibition centre.

As an exhibitor, contractor or agent you have a duty under Work, Health and Safety Legislation to ensure that all personnel, contracted by you are aware that they have a responsibility, so far as is reasonably practicable, for the health, safety and welfare of all employees, and that any plant, or systems of work which may be used are, so far as is reasonably practicable, safe and without risks to health. This includes that all employees are provided with information, instruction, training and supervision to ensure not only their own health and safety, but also of others working or attending the vicinity.

Under Work, Health and Safety Legislation all exhibitors and contractors are required to carry out an assessment of the activities involving the use, handling and storage of hazardous substances within the workplace. As such, RX will undertake an assessment of how any substances used, handled or stored at an exhibition may affect others and if precautions are needed, to ensure that they are put into place.

You are also required to have in your possession a copy of your own Health and Safety policy and a copy of the Health and Safety policy document of each contractor employed by you, which may be requested during the exhibition.

Public Liability Insurance

Every exhibitor must be covered for Public Liability. This can either be the cover we offer or your own insurance. 

As an exhibitor at an RX Global event, we can provide you with Public Liability Insurance. The insurance covers you for a minimum $10,000,000 AUD Public Liability Insurance for the duration of the event, including move-in and move-out. This is provided at no cost to you.

If you wish to use your own Public Liability Insurance, you can upload your Certificate of Currency HEREYour insurance must cover you for the full dates of the event (including move-in and move-out) and be for a minimum of $10,000,000 AUD.
