Eligibility, Terms and Conditions for PAX Aus, Cosplay Central Crown Championships 2024

Information on how to enter and all prize details form part of these Terms and Conditions. Participation in this promotion is deemed acceptance of these Terms and Conditions.

The Australian leg of the Cosplay Central Crown Championships qualifier (“Qualifier”) will be held at PAX Aus (11-13 October 2024). Cosplay Central Crown Championship Final (“Final”) will be held during April 11 - 13, 2025 at C2E2.

In these terms & conditions the person entering the Cosplay Central Crown Championships will be referred to as (“Entrant”).

The Promoter is Reed Exhibitions Australia Pty Ltd ABN 47 000 146 921 of Tower 2, 475 Victoria Avenue, Chatswood NSW 2067. (“Promoter”)

Eligibility

1.  

  1. All entrants must be 18 or older to compete in the Cosplay Central Crown Championships.

  2. Entries for the Qualifier must be submitted on or before 11:59pm AEST, September 1st, 2024 by following this link. All applicants will receive the outcome of their entry via email by September 9th, 2024.

  3. At application each entrant must submit a minimum of one (1) reference image, two (2) images of the costume they wish to enter and a written description which may offer details about the design and construction process, materials, and the choice of costume. You do not need to be wearing the costume, it can be on a mannequin or similar. The important thing is that the panel can see the quality of your work and that the costume is complete enough to ensure it will be 100% ready to take part in the qualifier.

  4. At application the costume being entered should be 70% complete, i.e. all major parts should be present and nearly complete, with allowance for minor unfinished elements and fine decoration.

  5. Entrants must submit a Build Book upon their submission. Build Books will be shared with the Judges prior to Craftsmanship Judging. You can find examples here and here

  6. Applications are open to registered citizens or permanent residents of Australia.

  7. Employees, staff, crew or guests of Promoter or any associated company and their immediate families, and persons connected with the Championships e.g., prize sponsors or judges and their agents are not eligible to enter the Cosplay Central Crown Championship.

  8. Group entries are not permitted.

  9. Entrants must comply with the Promoter cosplay, weapons and props rules and will be subject to security checks on entry to PAX Aus. Check here for details: Cosplay rules.

  10. Cosplays for the Crown Championships must represent an existing or recognisable character or element from the pop culture realm, including comic books, movies and television, video games, anime, manga, theatre or fantasy. Characters or elements from bands, musicians and drag acts are not eligible.

    1. Cosplays replicating published designs from comic books, movies and television, video games, anime, manga, theatre or fantasy, including derivative designs by well known concept artists that have been publicly available for at least 1 year and not directly commissioned by the finalist, will be judged on “Accuracy” i.e. the detail and steps taken to create a cosplay that is accurate to the given reference material.

    2. Cosplays inspired by existing characters but given an original twist, e.g. character mash ups or interpreting a recognisable character in an alternative style, will be judged on the “design” choices and decisions taken to create a cohesive cosplay.

  11. Entrants must have made the cosplay they are using in the Cosplay Central Crown Championship Qualifier and the Final by themselves. 

    1. All significant visible cosplay elements that can safely be made without assistance must have been constructed entirely by the Entrant; If it is impossible or unsafe for a single person to make a cosplay element, assistance for simple tasks such as holding things in place is acceptable;

    2. It is acceptable to use bought wigs, shoes, and accessories such as spectacles etc. Simple, largely insignificant base layers such as a leotard or pantyhose are similarly permitted. Any customisation such as styling a wig or modifying shoes must be the sole work of the entrant;

  12. Cosplays that have won any previous Championships of Cosplay state qualifiers or finals. For example, “I won Championships of Cosplay Wild Card at Oz Comic Con in 2023 for my cosplay of sucrose from Genshin Impact” will not be eligible to enter the competition 

  13. Entrants may participate in the Crown Championships qualifier only once per year. Entrants must not register multiple times with multiple cosplays. An entrant can only enter once across all qualifier events and only wear one cosplay.

  14. The cosplay should not exceed 2.5m/8ft in any one dimension, and the entrant should be able to safely move in the cosplay with limited assistance and the cosplay must not impede the finalist’s ability to get on and off stage. The Promoter team reserve the right to intervene should they believe a cosplay is not safe to participate on stage. 
  15. All cosplays should provide enough coverage to be worn in public and should be in good taste and appropriate for a family-friendly show. 
  16. Cosplays cannot be obscene or offensive, including insensitive or unnecessary use of makeup, nor endorse any form of hate or any hate group. Gore, graphic violence or other objectionable elements may also be grounds for disqualification as determined by the judges or Promoter.

  17. Cosplays cannot promote alcohol, illegal drugs, tobacco, firearms/weapons (or the use of any of the foregoing), any activities that may appear unsafe or dangerous or any particular political agenda or message.

  18. Cosplays must not defame, misrepresent or contain disparaging remarks about Cosplay Central, Promoter and their products, or other people, products or companies, or communicate messages or images inconsistent with the positive images and/or goodwill with which Cosplay Central and/or Promoter intends to associate the Competition; 

  19. Cosplays cannot depict, and cannot themselves, be in violation of any Australian or other applicable law.

  20. All accepted entrants must attend craftsmanship judging on the contest day. If accepted, Promoter will notify entrants when and where the craftsmanship judging will take place. Entrants must appear in cosplay at the time of their judging. Construction or progress pictures should be brought by the entrant to their judging session; not supplied electronically. Failure to appear for judging will result in disqualification.

  21. All accepted entrants may bring a “build book” to their craftsmanship judging on the contest day. If not supplied, the build book submitted on application will be supplied. 

  22. Selected Finalists are expected to wear the cosplay that they qualified in for the Championships Final; should a Finalist wish to compete in an alternative cosplay this may be permitted following discussion with the Promoter team.

  23. Entrants are not required to prepare a stage presentation or performance but should prepare a series of poses or movements to showcase their cosplay on the stage. This can be a simple presentation of the cosplay’s details and features or a scripted performance;

    1. Each entrant will be on stage for a minimum of 1 minute and a maximum of 2 minutes 

    2. Stage dressing is not permitted for qualifier rounds. 

    3. Presentations must be suitable for a family audience. 

    4. Entrants will be provided music.

    5. Energetic performances involving e.g., running or martial arts displays will require further assurance regarding the skills of the performers, and we reserve the right to interrupt performances for safety reasons.

Prize and Winning

1. There is one first placed “Winner” and one second placed “Runner Up” prize to be won.

Winner Prize

  • Represent Australia at C2E2

  • Award Trophy x 1

  • Return economy flights to C2E2

  • Three (3) nights’ accommodation 

  • Two (2) weekend passes for C2E2, Chicago 2025

  • Two (2) 3-day badges to PAX Aus 2025

Runner Up Prize

  • Award Trophy x 1

  • AU$500 Voucher 

  • Two (2) 3-day badges to PAX Aus 2025

    2. Any and all costs associated with the prizes remain the responsibility of the Winner and Runner Up. This includes, but is not limited to, transportation, accommodation transfers, food & beverages, and any VISA related costs. 

    3. Prize is non-transferable, cannot be exchanged or substituted with cash. 

    4. The Winner and Runner Up will be announced at PAX Aus on 13 October, 2024.

Terms & Conditions of Entry

  1. All selected entrants are responsible for all expenses related to competing in the Crown Championship qualifier, including all lodging and travel to and from the convention centre. 
  2. All entrants must have a badge valid for Sunday, October 13 at PAX Aus. 
  3. Entrants are responsible for their own belongings. Promoter is unable to provide a secure area for personal items. 

  4. The weighting for each of the judging criteria is as follows: Accuracy or Design - 20% ; Ambition – 10%; Construction – 70%. 

  5. The judges’ decisions are final and no further negotiation is permitted. There is no obligation on the Promoter or the judges to provide feedback. 

  6. The safety of the audience, staff, and other participants must not be compromised. This means that pyrotechnics, fireworks or any other methods of creating or causing a naked flame or explosion are forbidden; anything that may litter the stage that cannot be quickly removed (e.g., glitter or confetti) or make it slippery or sticky is similarly banned. The use of lasers, regardless of strength, is not permitted by the venue. Self-generated vapour as part of a cosplay may be permitted for use on stage following assessment by the Promoter.

  7. Each entrant grants to Promoter, its employees, agents, and assignees, the absolute and irrevocable right and permission to photograph, film, reproduce, portray and/or otherwise exploit the name, voice, appearance, photograph, image and/or likeness of such Finalist at PAX Aus and/or in the Competition (collectively, "Likeness"), and to use the results and proceeds, without limitation, in materials produced by the Promoter in any and all media, in perpetuity. Entrant hereby waives any claim to compensation for use of such Likeness. Entrant agrees that Management owns the images and all rights related to them. The images may be used by the Promoter in any manner or media without notifying the Entrant, such as the Cosplay Central website, publications, promotions, broadcasts, advertisements, and posters, for advertising or other related purposes. Entrant waives any right to inspect or approve the finished images or any printed or electronic matter that may be used with them

  8. By accepting a prize, each winner agrees to release and hold harmless Promoter and its direct and indirect subsidiaries, suppliers, distributors, advertising/promotion agencies, and prize suppliers (if any), and each of their respective parent companies and each such company’s officers, directors, employees and agents, from and against any claim or cause of action, including, but not limited to, personal injury, death, or damage to or loss of property, arising out of participation in the Cosplay Central Crown Championship or receipt or use or misuse of any prize.

  9. Promoter reserves the right to cancel, suspend and/or modify the Cosplay Central Crown Championships, or any part of it, if any fraud or technical failures or any other factor beyond Promoter’s reasonable control impairs the integrity or proper functioning of the Cosplay Central Crown Championships, as determined by Promoter in its sole discretion. 

  10. Promoter reserves the right, in its sole discretion, to disqualify any individual it finds to be tampering with the entry process or the operation of the Crown Championships or to be acting in violation of the Rules or in an unsportsmanlike or disruptive manner.  Any attempt by any person to deliberately undermine the legitimate operation of the Championships of Cosplay may be a violation of criminal and civil law, and should such an attempt be made, Promoter reserves the right to seek damages from any such person to the fullest extent permitted by law. Promoter’s failure to enforce any term of these Rules shall not constitute a waiver of that provision.

  11. Limitation of Liability: Promoter is not responsible for: (1) any incorrect or inaccurate information, whether caused by entrants, typographical errors, printing errors or by any of the equipment or programming associated with or utilised in the Contest; (2) technical failures of any kind, including but not limited to malfunctions, interruptions, or disconnections in phone lines or network hardware or software; (3) unauthorised human intervention in any part of the entry process or Crown Championships; (4) technical or human error which may occur in the administration of the Crown Championships or the processing of entries; or (5) any injury or damage to persons or property which may be caused, directly or indirectly, in whole or in part, from an entrant’s participation in the Crown Championships or receipt or use or misuse of any prize (provided always that Promoter or its employees or contractors are not negligent in any way in relation to such injury or damage).  If, for any reason, an entrant’s entry is confirmed to have been erroneously deleted, lost or otherwise destroyed or corrupted, that entrant’s sole remedy is another entry in the Crown Championships, if feasible. If the Cosplay Central Crown Championships, or any part of it, is discontinued for any reason, Promoter, in its sole discretion, may elect to hold a random draw from among all eligible entries received up to the date of discontinuance for the prize(s) offered herein.

  12. In the event of any dispute arising, these Rules are to be interpreted in accordance with the laws of Australia.
